Your CRM and Your Phone System, Working as One
When a customer rings, your team should already know who they are, what they bought, and what they last called about. 3CX CRM integration makes that happen automatically, matching the caller ID against your CRM and opening the record before anyone picks up.
Com2 Communications is a certified 3CX partner in Australia, and we deploy CRM integration as part of a complete 3CX phone system build or as an upgrade to a system you already run. Your team stops copying phone numbers between windows, and your CRM stops missing half its call history.

What 3CX CRM Integration Actually Does
Callers arrive with a name.
Inbound calls trigger a lookup in your CRM, so the caller’s name appears on the handset and in the web client instead of a raw mobile number.
Records open on their own.
In the 3CX Web Client, the matching customer record pops up as the call connects. No searching while the customer waits.
Calls log themselves.
Every inbound and outbound call is written back to the CRM as a call record, with duration and outcome, so the activity history stays complete without anyone typing it up.
Unknown numbers become contacts.
A call from a number nobody has seen before can create a new CRM contact automatically, so first-time enquiries stop falling through the gaps.
Four things change on the day it goes live.
Built for Teams That Live in Their CRM
Caller ID Matched to Your Customer Record
Inbound calls query your CRM through its API and pull the contact details back into 3CX. The name shows on the phone display, and the record is one click away.
- See who is calling before you answer.
- Contact details sync into the 3CX phonebook automatically.
- Works across the web client, browser extension, and mobile apps
- Reduces average handle time by removing the identification step
Click2Call From Inside Your CRM
Your team dials from the CRM record itself using the 3CX Click2Call browser extensions for Chrome and Edge. No copying numbers, no misdials.
- One-click dialling from any phone number in your CRM.
- Outbound calls log against the right record automatically.
- Useful for sales teams working a call list and for support teams returning enquiries
- Removes the most common source of wrong-number calls
Automatic Call Journalling
Calls are written back to the CRM as they finish. Managers get an accurate activity history without relying on staff to remember.
- Inbound and outbound calls both journalled
- Call duration and timestamps recorded against the contact
- Optional link to the call recording stored
- Gives you a defensible record of what was discussed and when
Transcripts and Summaries on the Record
On the 3CX Enterprise and AI editions, calls can be transcribed and summarised, then attached to the CRM record. Whoever picks up the account next reads the history in seconds. This works alongside 3CX AI transcription and 3CX AI analytics.
CRM Platforms We Deploy with 3CX
HubSpot
Sales and marketing teams automatically log calls against the HubSpot contact and deal timeline, with Click2Call from any record. This 3CX integration is a common fit for Australian businesses running HubSpot as their single source of truth.
Zoho CRM
With a seamless 3CX integration, Zoho users get caller lookup, contact pop-ups, and call journalling through the server-side connector. The phone system feeds Zoho without a plugin on every desktop.
Salesforce
Enterprise sales teams get inbound call matching and automatic activity logging against leads, contacts and accounts, keeping Salesforce reporting accurate without manual data entry.
Dynamics 365
Dynamics 365 Online connects through an Azure app registration, with contact synchronisation, call pop-ups, and journalling. Worth knowing before you plan: the server-side integration supports Dynamics 365 Online, not on-premises Dynamics deployments. Our team can confirm which of your environments qualifies during scoping.
Freshdesk and Zendesk
Teams using helpdesk platforms get the ticket history in front of them as the call connects, which matters more in support than in sales because the caller has usually already explained the problem once.
Your Own CRM
If your CRM has a REST API and is not on the pre-built list, the integration can be built to a 3CX template. We scope this properly first, since a custom connector is a development job with a real timeline, not a checkbox.

How We Deploy Your Integration
Scope the CRM, not just the phone system.
We confirm your CRM edition, whether it is cloud or on-premises, and which API access your licence includes. This is where most integrations are won or lost.
Clean the number formatting.
Contact numbers must be stored in E.164 format, so +61738001234 rather than (07) 3800 1234. Numbers stored with spaces, brackets or dashes will not match, and this is the single most common reason a CRM integration appears to fail after go-live. We flag what needs fixing before we connect anything.
Connect and authorise.
The integration is configured server-side in the 3CX Admin Console, so there is nothing to install on individual desktops.
Test with real calls, then train.
We test inbound matching, outbound Click2Call, and journalling against live records, then show your team what changes on their screen.
A CRM integration that half works is worse than none. That’s because staff stop trusting the pop-up and go back to searching manually. Our 3CX phone setup process is built to avoid that.

Frequently Asked Questions (FAQs)
Which CRM systems work with 3CX?
3CX integrates with HubSpot, Zoho, Salesforce, Microsoft Dynamics 365 Online, Freshdesk, Zendesk, Vtiger and many others through pre-built server-side connectors. If your CRM is not on the list but has a REST API, a custom integration can be built to a 3CX template. Com2 confirms compatibility during scoping.
Do I need a specific 3CX licence for CRM integration?
Server-side CRM integration is not available on every 3CX edition, and transcription features that attach summaries to CRM records need the Enterprise or AI edition. Our team can confirm the licence tier your integration requires before you purchase, rather than after, so the quote reflects what you actually need.
Why is my CRM integration not matching callers?
The most common cause is number formatting. Contact numbers stored in your CRM with spaces, brackets or dashes will not match an inbound caller ID. Numbers must be in E.164 format, such as +61738001234. Fixing the formatting in the CRM resolves most matching failures without any change to the phone system.
Does 3CX work with Microsoft 365 as well as a CRM?
Yes. 3CX syncs users, personal contacts, and calendars with Microsoft 365 alongside your CRM connector, and the two run together. See our 3CX Microsoft 365 integration page for what that covers.
Can we add CRM integration to a 3CX system we already have?
Yes. CRM integration can be configured on an existing 3CX installation without replacing hardware or re-provisioning handsets. Com2 can add it to a system we deployed or one installed by another provider, subject to a review of the current configuration and licence.
How long does a 3CX CRM integration take to deploy?
A pre-built connector to a supported cloud CRM is usually configured and tested within a day, provided your CRM contact numbers are already formatted correctly. Number clean-up is the variable. A custom connector for an unsupported CRM is a development task and is scoped separately.
